Swan Tech Solutions, Christchurch, New Zealand ("we", "us" or "our") respects your privacy. This statement explains how we collect, use, store and share personal information under the New Zealand Privacy Act 2020.
Information we collect
We may collect:
- Your name, phone number, email address, suburb, service address and preferred contact details.
- Information you provide in a website enquiry, email, text message or phone call.
- Booking, service, quote, invoice and customer-support records.
- Bank-transfer information such as payer name, payment reference, amount and date.
- Basic technical records such as IP address, browser type and security logs processed by our hosting or form provider.
We do not collect card details through this website. Please never send us passwords, verification codes, card details or bank account credentials.
How we collect information
We usually collect information directly from you when you contact us, request a booking, receive a service or make a payment. We may receive information indirectly from someone contacting us on your behalf, a referral source, our bank, or a service provider acting for us. Where Information Privacy Principle 3A applies, we will take reasonable steps to make sure you are aware of that collection unless an exception applies.
Why we use it
We use personal information only where reasonably necessary to:
- Respond to enquiries and provide quotes.
- Arrange and deliver requested technology-support services.
- Contact you about an appointment or completed service.
- Issue invoices, identify bank payments and maintain business records.
- Protect our website, email and services from misuse, fraud and spam.
- Meet applicable legal, tax and accounting obligations.
Providing information
Providing your information is generally voluntary. If you do not provide the contact and service information we need, we may be unable to respond, prepare a quote, make a booking or provide the requested service.
Who may receive it
We do not sell or rent personal information. We may provide relevant information to website hosting, form processing, email, banking, accounting, bookkeeping, cloud storage or professional service providers acting for us. We may also disclose information where authorised or required by New Zealand law, or where necessary to prevent a serious threat or protect our legal rights.
Overseas service providers
Some hosting, form, email, cloud or map providers may process or store information outside New Zealand. We remain responsible for information held by providers acting as our agents and take reasonable steps to use providers with appropriate privacy and security safeguards. Any overseas disclosure will be handled in accordance with Information Privacy Principle 12.
Website cookies and logs
This website does not currently use advertising cookies or behavioural analytics. Our hosting and security providers may automatically process basic connection logs to deliver the website, prevent abuse and diagnose faults.
The Services page uses map tiles supplied by the OpenStreetMap Foundation. When the map loads, OpenStreetMap may receive technical information including your IP address, browser and device type, operating system, referring page and access time. We do not send your enquiry or booking details to OpenStreetMap. Map use is subject to the OpenStreetMap Foundation privacy policy. We will update this statement before introducing materially different tracking.
Storage and security
We use reasonable technical and organisational safeguards, including secure hosted services, access controls and protected business accounts. No online system can be guaranteed completely secure, so we collect only information reasonably needed for our services.
Retention
We keep personal information only for as long as reasonably needed for the purposes described above, including customer support and legal, tax or accounting requirements. Information that is no longer required is securely deleted or anonymised where reasonably practicable.
Access and correction
You may ask for access to personal information we hold about you or ask us to correct it. Contact us using the details below. We may need to verify your identity before responding.
Privacy concerns and breaches
Contact us promptly if you have a privacy concern. If a privacy breach has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and affected people as required by the Privacy Act 2020. You may also contact the Office of the Privacy Commissioner at privacy.org.nz.
